Teaching Assignments
A transparent, auditable process for external teaching appointments.
Managing external teaching assignments across a large institution means coordinating document submissions, multi-stage approvals, and renewals across many chairs and departments. Koinon's Teaching Assignments module brings all of this into a single, structured workflow. Application rounds define clear deadlines, document requirements are configurable per institution, and every approval stage — from formal review to final sign-off — is tracked and logged. Renewals are handled separately from new assignments, so it is always clear which appointments are continuing and which are new.
Key Features
- Administrators create application rounds with configurable deadlines per semester
- Document upload requirements are configurable: mandatory, optional, or not required
- Multi-stage approval chain: formal approval, steering committee review, final approval
- Renewal workflow for extending existing assignments into subsequent rounds
- Full assignment history with status tracking at every stage
- Email notifications to the dean's office at configurable points
- Export to Excel with filters by department, chair, course type, payment status, and approval state
Who it's for?
- Lecturers — Submit and track their own teaching assignment applications
- Department Admins — Review, approve, and manage assignments across the department
- Dean's Office — Final approval authority; receives automated notifications
- School Admins — Configure document requirements, create rounds, run exports
How it works?
- Admin creates an application round with a deadline for a given semester
- Instructor submits an application with the required documents
- Application moves through formal and steering committee approval stages
- Dean's office gives final approval or rejection
- In subsequent semesters, approved assignments can be renewed through a dedicated renewal flow
- Admins export the full assignment dataset for compliance and reporting
